Booking Policies

Reservations:

Many questions can be answered by browsing our website.  Please call TRC directly to book your event.  We do not make reservations or confirm timeslot availability by email. 

Birthday Parties:

Confirmations and headcount: We will call the week of your party to confirm the time, the headcount and the type of party.  We will also remind you about our waiver policy.  We finalize our staffing at this time based on the expected size of the group.  If the headcount changes in the interim please call us immediately.  We will attempt to provide additional staffing if more guests are expected, but cannot guarantee additional staff availability. 

Deposits: We do not take deposits for birthday parties.  Instead we take a credit card number.  We do not run any charges unless the group is a no-show or creates a chargeable cancellation (see below).

Cancellations and no-shows: There is no charge for cancellation 2 weeks or more before the party date. A 50% charge will be made for parties canceled with less than 2 weeks notice. Full price will be charged for no-shows or cancellations less than 48 hours before the party.

Rescheduling:  A rescheduling fee of $75 is charged for rescheduling less than 2 weeks before the party. In the event of inclement weather every effort will be made to reschedule and no rescheduling fee will be charged. If rescheduling is impossible no charge will be made.

Groups (Scouts, School groups, Daycamps, etc.)

Confirmations and headcount: We will call the week of your visit to confirm the time, the headcount and any special services that are needed.  We will also remind you about our waiver policy.  We fix our staffing at that time based on the expected size of your group.  If the headcount changes in the interim please call us immediately.  We will attempt to provide additional staffing if more guests are expected, but cannot guarantee additional staff availability.  The per-climber rate you are quoted is based on the anticipated headcount.  On the day of your visit if your group is smaller than planned your rate may change to reflect the actual number of participants.  [Example:  If you confirm 35 climbers but only 20 show up you will be charged the higher rate applicable for 20 climbers.]

Deposits:  A credit card number is required to hold your booking.  Your credit card will not be charged unless there is a cancellation or no-show (see below).  If your group cannot provide a credit card number then a 50% deposit is required within 10 days of making the booking.

Arrangements for large groups are tailored to the group and the event.  We provide a term sheet and rental agreement when you book your event.
